Sr. Leave of Absence Administrator
Our client is seeking a Sr. Leave of Absence Administrator to support a high-volume employee benefits and leave management function during a critical coverage period. This role is ideal for a knowledgeable leave administration professional who thrives in a fast-paced environment, communicates with empathy and professionalism, and can confidently navigate complex leave cases while ensuring compliance with federal and state regulations.
This role is on-site in Portland, OR; Lake Oswego, OR; Medford, OR; Tacoma, WA; Seattle, WA; or Phoenix, Arizona.
Sr. Leave of Absence Administrator Responsibilities
- Serve as the primary point of contact for employee leave inquiries, providing guidance on leave programs, eligibility requirements, documentation, and next steps.
- Administer and coordinate a variety of leave programs including FMLA, ADA accommodations, parental leave, military leave, personal leave, and applicable state leave programs.
- Manage leave cases from intake through resolution while maintaining accurate and confidential records within HRIS and leave management systems.
- Partner with third-party administrators, disability carriers, payroll, HR, and leadership teams to ensure seamless leave coordination and accurate pay and benefits continuation.
- Communicate regularly with employees, managers, and HR partners regarding leave status updates, required documentation, timelines, and policy interpretation.
- Support ADA accommodation processes in partnership with legal, safety, and department leadership teams, including documentation and interactive process coordination.
- Monitor compliance with federal, state, and local leave regulations and assist with policy updates, audits, reporting, and process improvements.
- Generate leave-related reports, track trends and usage, and maintain documentation in accordance with company procedures and regulatory requirements.
- Respond to escalated or sensitive leave-related matters requiring detailed research, discretion, and sound judgment.
- May assist with training, mentoring, or knowledge-sharing activities related to leave administration processes and procedures.
Sr. Leave of Absence Administrator Qualifications
- 4+ years of direct leave of absence administration experience handling day-to-day leave case management.
- Strong working knowledge of federal and state leave laws including FMLA, ADA, paid leave programs, and related compliance requirements.
- Demonstrated ability to manage multiple leave cases simultaneously while meeting deadlines and maintaining accuracy.
- Excellent customer service and communication skills with the ability to handle sensitive and confidential situations professionally.
- Experience collaborating with third-party administrators, disability vendors, payroll teams, and internal HR partners.
- Strong organizational skills and high attention to detail in documentation, recordkeeping, and compliance tracking.
- Proficiency with Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
- Experience using HRIS or leave management platforms such as Workday, UKG, ADP, AbsenceSoft, or similar systems preferred.
- Experience supporting employees across multiple states preferred.
- Associate’s degree in Human Resources, Business Administration, or a related field preferred; High School Diploma or GED required.
Compensation: $26-$35/hr. (DOE)
