Marine Operations Assistant
Our client is seeking a highly organized and tech-savvy Marine Operations Assistant to support maintenance coordination and administrative operations within a dynamic marine environment. This role is ideal for someone who enjoys working behind the scenes to keep operations running smoothly—balancing scheduling, procurement coordination, and system-based tracking. The ideal candidate is detail-oriented, adaptable, and comfortable learning complex systems while supporting cross-functional teams.
This role is a hybrid model in Portland, Oregon. The initial training period will be fully on-site.
Marine Operations Assistant Responsibilities
- Coordinate and schedule maintenance activities, ensuring alignment across operations, vendors, and internal teams.
- Manage the ordering of parts and materials, working closely with procurement and vendors to support ongoing maintenance needs.
- Track, update, and maintain maintenance records using internal systems, ensuring accuracy and timely reporting.
- Serve as a key administrative support resource for maintenance operations, including requisitions, expense tracking, and contract coordination.
- Utilize computerized maintenance management systems to monitor work orders, analyze activity, and support operational visibility.
- Assist with document preparation, formatting, and organization for operational and reporting purposes.
- Capture meeting notes, track action items, and follow up to ensure completion of key deliverables.
- Respond to inquiries and route requests appropriately to support efficient communication across teams.
Marine Operations Assistant Qualifications
- 2+ years of experience in administrative, operations support, or coordination roles, preferably in a technical, industrial, or maintenance-related environment.
- Strong technical aptitude with the ability to quickly learn and navigate complex systems (experience with maintenance management systems is a plus, but not required).
- Experience supporting procurement activities, including ordering materials, tracking requests, and working with vendors, is highly preferred.
- Familiarity with maintenance operations or environments involving equipment, facilities, or logistics is a plus.
- Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously.
- Proficiency in Microsoft Office or similar tools for documentation, tracking, and communication.
- Strong communication skills with the ability to collaborate effectively across teams.
- Self-starter who is adaptable, resourceful, and comfortable working in a fast-paced environment.
Compensation: $30/hr.
