Executive Assistant / Project Coordinator
Our client is seeking an Executive Assistant / Project Coordinator to provide high-level administrative, operational, and project coordination support in a dynamic, fast-paced environment. This role is ideal for a highly organized professional who enjoys keeping executives and projects on track, building efficient processes, and collaborating with internal teams and external stakeholders to drive successful outcomes.
This role is a hybrid model in Spokane, Washington.
Executive Assistant / Project Coordinator Responsibilities
- Provide comprehensive executive support, including calendar management, email coordination, travel arrangements, expense reporting, and preparation of presentations, reports, and business communications.
- Coordinate leadership meetings, document key discussions, track follow-up actions, and help ensure strategic initiatives and business priorities remain on schedule.
- Support day-to-day operational activities by maintaining organizational documentation, tracking internal priorities, coordinating recurring meetings, and improving administrative workflows.
- Participate in project and client meetings, capturing detailed meeting notes, action items, risks, decisions, and project updates to ensure timely follow-through.
- Maintain project tracking tools, dashboards, and status reports while coordinating stakeholder communications and promoting accountability for deliverables.
- Assist with special projects and cross-functional initiatives while balancing multiple priorities in a fast-paced, remote work environment.
Executive Assistant / Project Coordinator Qualifications
- 3–7 years of experience supporting executives, project teams, operations, or consulting environments.
- Proven ability to manage multiple priorities while maintaining exceptional organization, attention to detail, and follow-through.
- Excellent written and verbal communication skills with the ability to interact professionally with executives, clients, and cross-functional teams.
- Strong proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, Teams, SharePoint, Zoom, and project tracking tools.
- Experience coordinating projects, maintaining action logs, or supporting project management activities is highly preferred.
- Background supporting consulting, engineering, construction, technical, or other fast-paced organizations is a plus.
- Experience working in startup or high-growth environments and collaborating with external clients is preferred.
- Familiarity with project management platforms such as Smartsheet, Trello, Monday.com, Asana, Notion, or similar collaboration tools is beneficial.
- Ability to exercise sound judgment, maintain confidentiality, work independently, and proactively identify opportunities to improve processes.
Compensation: $30-$35/hr. (DOE)
