Project Coordinator
Our client is seeking a Project Coordinator to provide hands-on coordination and administrative support for a large-scale enterprise integration program. This role will work closely with project managers, technical teams, business stakeholders, vendors, and program leadership to keep project activities organized and moving forward. The ideal candidate is highly detail-oriented, proactive with follow-through, and comfortable managing project documentation, meetings, milestones, and action items across multiple interconnected workstreams.
This role is a remote role with possible occasional monthly travel. Applicants must reside in Portland, Oregon.
Project Coordinator Responsibilities
- Provide day-to-day project coordination support for enterprise technology and integration initiatives.
- Maintain project plans, milestone schedules, RAID logs, action item trackers, decision logs, and other key project documentation.
- Track project activities, dependencies, risks, issues, and deliverables to ensure information remains current and accurate.
- Coordinate meetings across project teams, business stakeholders, technical groups, vendors, and program leadership.
- Prepare meeting agendas, presentation materials, status updates, and other communications for project and leadership meetings.
- Document meeting discussions, decisions, action items, owners, and deadlines while ensuring appropriate follow-through.
- Support steering committee and project governance activities by coordinating materials, schedules, and post-meeting actions.
- Work closely with project managers to monitor progress against key milestones and identify items requiring additional attention.
- Assist with project reporting and provide clear visibility into progress, risks, upcoming milestones, and outstanding actions.
- Coordinate across multiple interconnected workstreams to support alignment and effective communication between teams.
- Help maintain consistent project management processes and documentation standards across assigned initiatives.
- Provide coordination support for additional projects and program activities as priorities and capacity allow.
Project Coordinator Qualifications
- Minimum of 3–5 years of project coordination or project management support experience, ideally in a technology or enterprise program environment.
- Strong ability to maintain project plans, RAID logs, action item trackers, milestone schedules, and project reporting materials.
- Excellent follow-through, organization, and attention to detail; able to keep project artifacts current and drive closure on assigned actions.
- Comfortable coordinating across project managers, technical teams, business stakeholders, vendors, and PMO/portfolio functions.
- Strong written and verbal communication skills, including the ability to prepare agendas, notes, decision logs, and clear status updates.
- Experienced with MS Office, Smartsheet, and Clarity. Jira or similar work tracking tools ideal.
Preferred:
- Experience supporting integration, decoupling, migration, or enterprise technology programs.
- Healthcare, payer, Blues, or insurance industry experience.
- Experience supporting steering committee or leadership governance routines.
- Ability to quickly learn internal processes, tools, acronyms, and stakeholder operating models.
