Procurement Specialist
Our client is seeking a Procurement Specialist to support a busy procurement team by managing purchasing activities, coordinating competitive solicitations, and ensuring compliance with public procurement standards. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment, builds strong relationships with internal stakeholders and vendors, and can quickly learn established processes while maintaining accuracy and professionalism.
This role is on-site in Vancouver, Washington.
Procurement Specialist Responsibilities
- Lead and coordinate procurement activities, including preparing and administering Requests for Proposals (RFPs), Requests for Quotes (RFQs), Invitations to Bid (ITBs), and other competitive sourcing processes.
- Ensure purchasing activities comply with organizational policies, budget requirements, and applicable government procurement regulations and public contracting standards.
- Partner with internal departments to identify purchasing needs, evaluate vendor responses, support contract awards, and facilitate procurement-related decision-making.
- Manage vendor relationships by serving as a primary procurement contact, monitoring contract performance, resolving procurement issues, and tracking warranty obligations.
- Research suppliers, analyze pricing, obtain competitive quotes, and recommend cost-effective purchasing solutions.
- Support purchase order processing by tracking open orders, monitoring fulfillment, and maintaining accurate procurement documentation and records.
- Maintain inventory and asset records, coordinate physical inventory activities, and oversee surplus asset disposition in accordance with established procedures.
- Assist with procurement reporting, audits, budgeting support, and the continuous improvement of purchasing processes, templates, and documentation.
- Provide guidance to internal staff on procurement procedures, purchasing policies, and contract administration best practices.
- Stay current on procurement regulations, industry trends, and best practices through ongoing professional development.
Procurement Specialist Qualifications
- Associate’s degree in Business, Supply Chain, Public Administration, Finance, or a related field, or an equivalent combination of education and experience.
- Three or more years of procurement or purchasing experience, with local or government procurement experience strongly preferred.
- Experience managing public-sector procurement processes, including RFPs, RFQs, competitive bidding, and contract administration.
- Working knowledge of government purchasing regulations, public contracting requirements, and procurement compliance standards.
- Strong ability to manage multiple priorities in a fast-paced environment while adapting quickly to established processes and procedures.
- Excellent organizational skills with exceptional attention to detail and the ability to maintain accurate procurement records and documentation.
- Strong analytical and problem-solving skills with experience evaluating vendor proposals, pricing, and purchasing options.
- Excellent written and verbal communication skills with the ability to build effective relationships across departments, vendors, and leadership.
- Proficiency with Microsoft Office, particularly Excel and Word, along with experience using purchasing, financial, or ERP systems.
- Professional, resilient, and customer-focused approach, with the ability to receive feedback constructively and provide outstanding internal support.
