Accounts Payable Specialist
Our client is seeking an experienced Accounts Payable Specialist to support accounts payable activities across a portfolio of 12 entities. This position is responsible for accurately processing invoices and payments, maintaining vendor records, resolving discrepancies, and ensuring expenses are recorded to the appropriate entity and general ledger account. The ideal candidate is highly organized, detail-oriented, and comfortable managing a high volume of transactions across multiple entities while meeting established deadlines.
This role is on-site in Lake Oswego, Oregon.
AP Specialist Responsibilities
- Process accounts payable transactions across 12 entities, ensuring invoices and expenses are recorded to the correct entity and general ledger account.
- Review invoices for accuracy, proper coding, supporting documentation, and required approvals.
- Match purchase orders to invoices within RealPage.
- Enter and process vendor invoices in the accounting system.
- Prepare and process check runs, ACH payments, and other electronic payments.
- Allocate shared expenses appropriately across entities.
- Maintain accurate vendor records, including W-9s and payment information.
- Research and resolve invoice, payment, coding, and vendor discrepancies.
- Reconcile vendor statements and follow up on outstanding items.
- Monitor AP aging and ensure invoices are processed according to payment terms.
- Respond to vendor inquiries and maintain positive vendor relationships.
- Assist with month-end close, including AP reconciliations, accruals, and identifying outstanding liabilities.
- Support intercompany accounting and reconciliations as needed.
- Assist with annual 1099 preparation and filing.
- Maintain organized AP documentation and audit trails.
- Partner with internal accounting and operational teams to resolve issues and ensure timely processing.
- Perform additional accounting duties as assigned.
AP Specialist Qualifications
- 2+ years of accounts payable or related accounting experience
- Multi-entity accounting and intercompany billing experience is strongly preferred.
- Experience in real estate, property management, or another multi-entity environment is preferred.
- Strong understanding of accounts payable, invoice coding, and general ledger accounts.
- Experience processing a high volume of invoices and payments.
- Strong Excel and accounting software skills.
- Excellent attention to detail and organizational skills.
- Ability to manage competing priorities and deadlines across multiple entities.
- Strong communication and vendor-service skills.
- Experience with month-end close
Compensation: $20-$22/hr. (DOE)
