Administrative Specialist
Our client is seeking an Administrative Specialistto provide high-level administrative support to a busy leadership team in a fast-paced, collaborative environment. This individual will play a critical role in keeping daily operations running smoothly by managing complex scheduling, coordinating travel and meetings, supporting office operations, and serving as a trusted point of contact for internal and external stakeholders. The ideal candidate is exceptionally organized, detail-oriented, professional, and thrives in a high-visibility role requiring discretion and proactive problem-solving.
This role is a hybrid model in Detroit, Michigan.
Administrative Specialist Responsibilities
- Provide high-level administrative support to a business leader and team by managing complex calendars, scheduling meetings, and coordinating activities across multiple domestic and international time zones.
- Maintain highly accurate and up-to-date calendars, ensuring travel plans, meeting details, attendee information, and logistics are reflected in real time.
- Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, and itinerary management.
- Prepare and process expense reports using Concur while ensuring accuracy and compliance with company policies.
- Support purchase order creation and administrative transactions within an ERP system as needed.
- Coordinate conference rooms, virtual meetings, catering, office supplies, and audiovisual setup to ensure meetings run seamlessly.
- Prepare agendas, presentations, reports, correspondence, meeting materials, and other business documents using Microsoft 365 applications.
- Organize, maintain, and retrieve electronic and physical records, reports, and business documentation.
- Review incoming communications and prioritize information appropriately to support efficient workflow and executive decision-making.
- Serve as a professional point of contact for internal teams, executives, vendors, and external business partners, delivering exceptional customer service and communication.
- Support general office operations by assisting with administrative projects, ordering supplies, and maintaining an organized office environment.
- Handle sensitive and confidential information with a high degree of professionalism and discretion.
- Anticipate administrative needs, proactively resolve scheduling conflicts, and identify opportunities to improve office efficiency.
Administrative Specialist Qualifications
- 5–7 years of administrative or executive assistant experience supporting senior leaders in a fast-paced corporate environment.
- High school diploma or GED required.
- Demonstrated experience managing complex executive calendars involving multiple time zones and frequently changing priorities.
- Hands-on experience coordinating domestic and international business travel and managing detailed itineraries.
- Experience preparing and processing expense reports using Concur.
- Familiarity with ERP systems and purchase order processing is preferred.
- Advanced proficiency with Microsoft 365 applications, including Outlook, Word, Excel, and PowerPoint.
- Excellent organizational skills with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
- Strong verbal and written communication skills with the ability to interact professionally across all levels of an organization.
- Proven ability to work independently, exercise sound judgment, and maintain strict confidentiality.
- Strong interpersonal skills with a polished, approachable demeanor and a customer-service mindset.
- Ability to adapt quickly in a high-visibility environment while maintaining accuracy, professionalism, and composure under changing priorities.
Compensation: $20/hr. (DOE)
