Project Coordinator, CapEx
Our client is seeking a Project Coordinator, CapEx to support the successful planning and execution of capital improvement and construction projects across multiple facilities. This role is ideal for a proactive and service-oriented professional who thrives in a fast-paced environment, excels at coordinating complex projects, and confidently collaborates with contractors, vendors, and cross-functional teams to keep projects on schedule, within budget, and moving forward.
This role is on-site in Beaverton, Oregon
Project Coordinator, CapEx Responsibilities
- Coordinate capital improvement and facility construction projects by managing schedules, documentation, contracts, vendors, and project timelines from planning through closeout.
- Support Project Managers by tracking budgets, project milestones, expenditures, and deliverables while providing regular project status updates.
- Maintain construction documentation, including contracts, change orders, RFIs, submittals, permits, inspection records, warranties, and closeout materials.
- Partner with contractors, architects, engineers, maintenance teams, and internal stakeholders to ensure effective communication and timely project execution.
- Coordinate bidding activities, vendor selection processes, permitting, and procurement efforts for construction and maintenance projects.
- Monitor project progress, identify scheduling or documentation gaps, and proactively follow up to keep projects on track.
- Assist with site visits, project inspections, punch list activities, and documentation of field observations as needed.
- Organize and facilitate project meetings by preparing agendas, recording meeting notes, and tracking action items.
- Maintain accurate project files, construction drawings, specifications, and capital project records.
- Recommend process improvements that enhance project coordination, documentation standards, and overall project administration.
Project Coordinator, CapEx Qualifications
- 3-5 years of experience in construction project coordination, project administration, project management support, or a similar role.
- Experience supporting commercial construction, facility improvement, capital projects, or maintenance-related construction initiatives.
- Background coordinating contractors, vendors, contracts, schedules, and project documentation.
- Strong understanding of construction documentation, permitting processes, drawings, specifications, and project lifecycle management.
- Proficiency with Microsoft Excel and the Microsoft Office Suite; experience with construction management software such as Procore, Bluebeam, or similar is a plus.
- Associate degree in Construction Management, Engineering, or a related field, or an equivalent combination of education and relevant experience.
- Excellent organizational, time management, and problem-solving skills with exceptional attention to detail.
- Strong verbal and written communication skills with the confidence to collaborate effectively across multiple teams and external partners.
- Ability to manage multiple priorities in a deadline-driven environment while maintaining accuracy and professionalism.
- Customer-focused, adaptable, and service-minded with the interpersonal skills to build positive relationships and confidently navigate challenging situations.
Salary: $75K-$80K/year. (DOE)
