HR Onboarding Specialist
Our client is seeking an experienced HR Onboarding Specialist to support and enhance the employee onboarding experience within a fast-paced, high-volume environment. This individual will serve as a key liaison between new hires, hiring managers, recruiters, and HR teams to ensure a seamless transition from offer acceptance through readiness for employment. The ideal candidate is highly organized, process-driven, and passionate about creating a positive employee experience while maintaining compliance and operational excellence.
This role is on-site in Boston, Massachusetts.
HR Onboarding Specialist Responsibilities
- Coordinate end-to-end onboarding activities, including new hire documentation, background screenings, occupational health requirements, I-9 processing, and orientation scheduling.
- Serve as the primary point of contact for candidates, hiring managers, recruiters, and internal stakeholders regarding onboarding status, requirements, and readiness for employment.
- Manage onboarding records and employee data within HR, payroll, learning management, and applicant tracking systems while ensuring accuracy and compliance.
- Monitor and follow up on outstanding documentation, health clearances, background checks, and employment eligibility requirements to prevent onboarding delays.
- Develop, maintain, and improve onboarding workflows, trackers, dashboards, and reporting tools to increase efficiency and visibility.
- Conduct audits of onboarding records, I-9 documentation, compliance requirements, and employee files to identify gaps and ensure adherence to policies and regulations.
- Analyze onboarding metrics and provide insights related to process effectiveness, new hire readiness, and continuous improvement opportunities.
- Support onboarding and orientation activities for employees at all levels, including leadership hires and other high-visibility positions.
- Partner with cross-functional teams to evaluate current processes, implement enhancements, and drive operational improvements across HR functions.
- Assist with special projects, escalations, process documentation, and additional HR initiatives as needed.
HR Onboarding Specialist Qualifications
- Bachelor’s degree or equivalent combination of education and professional experience.
- 5+ years of experience in onboarding, recruiting coordination, HR operations, talent acquisition support, or a related high-volume administrative environment.
- Demonstrated experience coordinating background checks, employment eligibility verification, occupational health requirements, onboarding documentation, and orientation activities.
- Strong project coordination and process improvement skills with the ability to manage multiple priorities simultaneously.
- Experience working with applicant tracking systems, HRIS platforms, payroll systems, or learning management systems; Workday experience is a plus.
- Excellent organizational skills and attention to detail with a commitment to maintaining accurate records and compliance standards.
- Strong analytical abilities with experience tracking metrics, creating reports, and identifying opportunities for operational improvements.
- Proven ability to build relationships and collaborate effectively with stakeholders across multiple departments and organizational levels.
- Exceptional written and verbal communication skills with the ability to handle sensitive and confidential information professionally.
- Self-motivated, resourceful, and capable of working independently in a fast-paced environment while meeting established deadlines.
