Administrative Program Coordinator
Our client is seeking an Administrative Program Coordinator who is organized, proactive, and comfortable supporting programs that serve a wide range of professional stakeholders. The ideal candidate brings strong communication skills, attention to detail, and the ability to manage scheduling, logistics, documentation, and administrative workflows in a collaborative, mission-driven environment.
This role is a hybrid model in Boston, Massachusetts.
Administrative Program Coordinator Responsibilities
- Coordinate day-to-day administrative and operational support for professional development programs, seminars, consultations, and related initiatives.
- Manage complex Outlook calendar invitations, meeting scheduling, program timelines, and participant communications.
- Coordinate program logistics, including room scheduling, catering, technology setup, audio-visual support, materials preparation, and day-of support.
- Support program application processes, admissions committee coordination, candidate communications, and related tracking.
- Maintain program evaluations, collect participant feedback, and assist with tracking outcomes to help assess program effectiveness.
- Prepare agendas, record meeting minutes, track action items, and follow up with stakeholders as needed.
- Create, update, and organize program materials, marketing resources, process documentation, and internal reference guides.
- Assist with website updates, data entry, reporting, supply inventory, purchasing, and other administrative projects.
- Partner with leadership, faculty, staff, and cross-functional stakeholders to ensure programs run smoothly and professionally.
Administrative Program Coordinator Qualifications
- Bachelor’s degree or an equivalent combination of education and related experience.
- 1-2 years of administrative, program coordination, operations support, or related experience.
- Experience supporting programs, events, committees, professional development initiatives, or academic/healthcare-related operations is preferred.
- Strong Outlook calendar management, meeting coordination, and administrative organization skills.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Experience using web-based tools, survey platforms, content updates, or data management systems is a plus.
- Strong written and verbal communication skills with the ability to interact professionally with diverse stakeholders.
- Ability to manage multiple priorities, track details, meet deadlines, and follow through on action items.
- Self-directed, collaborative, and service-oriented approach with strong problem-solving skills.
- High attention to detail and ability to maintain accurate records, documentation, and program information.
Compensation: $24-$26/hr. (DOE)
