RFP Proposal Coordinator
Our client is seeking a highly organized and detail-oriented RFP Proposal Coordinator who thrives in a deadline-driven environment, excels at managing complex cross-functional projects, and can translate technical and business information into polished, compelling proposal responses. This role is ideal for a proactive communicator with strong analytical thinking, exceptional writing/editing skills, and the ability to coordinate stakeholders across multiple business functions while supporting strategic growth initiatives.
This role is fully remote. Applicants must reside in Oregon, Washington, Utah, or Idaho. PST working hours are required.
RFP Proposal Coordinator Responsibilities
- Lead the end-to-end coordination, development, tracking, and submission of complex RFPs, surveys, and proposal responses within strict deadlines.
- Serve as the central point of contact for proposal activity, collaborating with internal stakeholders across business, operations, sales, leadership, and other cross-functional teams to gather accurate response content.
- Review, evaluate, and refine submitted materials for quality, relevance, accuracy, and compliance, escalating gaps or requesting revisions as needed.
- Manage proposal reporting, workflow tracking, documentation, and response libraries to improve efficiency, consistency, and submission readiness.
- Research, analyze, and synthesize business, product, and operational information into clear, compelling written proposal content and supporting materials.
- Troubleshoot process, operational, and technical challenges related to proposal development, data collection, formatting, and submission requirements.
- Support the development of proposal presentation materials, graphics, contract-related collateral, and other sales support documentation as needed.
- Provide guidance to internal teams on proposal best practices, response strategy, and content alignment to support broader business development goals.
RFP Proposal Coordinator Qualifications
- Bachelor’s degree in Business, Marketing, Healthcare Administration, Communications, or a related field; equivalent professional experience will also be considered.
- 3+ years of experience in proposal coordination, RFP management, project coordination, sales support, healthcare administration, or a related function.
- Strong project management experience with the ability to organize multiple concurrent deadlines, prioritize effectively, and drive deliverables to completion.
- Exceptional written communication, proofreading, editing, and technical writing skills with strong attention to detail.
- Experience gathering, analyzing, validating, and organizing complex information from multiple internal stakeholders.
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and document formatting tools; experience with proposal management platforms is a plus.
- Strong analytical thinking, problem-solving, and decision-making skills with the ability to navigate ambiguity and shifting priorities.
- Ability to work collaboratively across all organizational levels while maintaining a high level of professionalism, responsiveness, and customer focus.
