Executive Assistant
Our client is seeking a polished and highly organized Executive Assistant to provide high-level administrative support to senior leadership in a fast-paced professional environment. This role is ideal for a proactive, resourceful professional who thrives on managing competing priorities, safeguarding confidential information, and keeping executives and teams operating efficiently. The ideal candidate brings strong communication skills, sound judgment, and the ability to anticipate needs while working independently.
This role is on-site in Portland, Oregon.
Executive Assistant Responsibilities
- Provide direct administrative support to executive leadership, managing sensitive information with professionalism, discretion, and sound judgment.
- Coordinate complex calendars, meeting logistics, board or committee materials, agendas, minutes, travel arrangements, and expense reporting.
- Prepare, edit, and format professional business documents including presentations, reports, correspondence, financial materials, and executive communications.
- Serve as a key point of contact for incoming communications, including calls, visitors, email, and internal inquiries, ensuring timely prioritization and routing.
- Review incoming documents, requests, and communications to assess urgency, determine next steps, and support efficient information flow.
- Maintain organized records, filing systems, and corporate documentation to support operational efficiency and compliance.
- Assist with administrative processes such as invoice coordination, expense tracking, supply management, and general office support.
- Support the development and improvement of administrative processes, standards, and workflows to enhance team effectiveness.
- Provide guidance and day-to-day support to less experienced administrative team members when needed.
Executive Assistant Qualifications
- 3+ years of executive or senior-level administrative support experience, or an equivalent combination of education and relevant experience.
- Proven experience supporting executive leadership in a fast-paced corporate or professional environment.
- Strong proficiency with Microsoft Office tools, including Outlook, Word, Excel, PowerPoint, Teams, and other modern workplace productivity platforms.
- Experience managing calendars, travel coordination, meeting planning, and executive expense reporting.
- Strong written and verbal communication skills, with the ability to interact professionally across all levels of an organization.
- Excellent organizational and multitasking abilities, with strong attention to detail and follow-through.
- Demonstrated ability to work independently, prioritize effectively, and solve problems with minimal supervision.
- High level of discretion and ability to handle confidential or sensitive information appropriately.
- Experience with expense management or purchasing tools is preferred.
- Ability to support process improvement initiatives and contribute thoughtful recommendations to enhance administrative operations.
