Administrative Assistant
Our client is seeking a highly organized and proactive Administrative Assistant to provide high-level support within a fast-paced and collaborative corporate environment. This role is ideal for a polished administrative professional who thrives on managing complex schedules, coordinating executive priorities, and ensuring seamless day-to-day operations. The ideal candidate is adaptable, detail-oriented, and confident communicating across all levels of an organization while maintaining discretion and professionalism.

This role is a hybrid work model in Portland, Oregon.

Administrative Assistant Responsibilities

  • Provide direct administrative support to executive leadership, including calendar management, meeting coordination, and travel arrangements.
  • Manage scheduling priorities, coordinate logistics for meetings and presentations, and ensure leaders are prepared with accurate materials and agendas.
  • Track expenses, process reimbursements, and support travel and expense management activities using internal systems and tools.
  • Prepare reports, presentations, correspondence, spreadsheets, and other business documents with a high level of accuracy and professionalism.
  • Screen and prioritize incoming communications, including calls, emails, and meeting requests, while exercising sound judgment and confidentiality.
  • Coordinate cross-functional projects, monitor timelines and action items, and help ensure follow-through on key deliverables.
  • Maintain organized records, files, and documentation while supporting office operations and administrative processes.
  • Support leadership teams with meeting preparation, note-taking, follow-up communication, and operational coordination.
  • Assist with administrative process improvements and contribute to maintaining efficient workflows and organizational standards.

Administrative Assistant Qualifications

  • 3+ years of administrative or executive support experience in a professional business environment.
  • Experience supporting executive-level leaders with complex scheduling, travel coordination, and expense management responsibilities.
  • Strong proficiency with Microsoft Office applications, including Outlook, Excel, PowerPoint, Teams, and related collaboration tools.
  • Experience using expense management and travel coordination platforms such as Concur or similar systems.
  • Demonstrated ability to manage multiple priorities independently while maintaining strong attention to detail and organization.
  • Excellent verbal and written communication skills with the ability to interact professionally across all levels of an organization.
  • Strong problem-solving abilities and the ability to adapt quickly within a fast-paced environment.
  • Proven ability to handle sensitive and confidential information with discretion and professionalism.
  • Experience coordinating projects, tracking timelines, and supporting operational initiatives is highly preferred.
  • Associate degree or additional administrative training is a plus, but not required.

Compensation: $20/hr.
