Clinical Intake & Correspondence Specialist
Our client is seeking a Clinical Intake & Correspondence Specialist to join their clinical services team in a fully remote role. This position receives, researches, and takes initial action on documentation and requests tied to utilization, care, and disease management programs. The role partners closely with licensed health professionals to keep requests moving accurately and on time, without making clinical decisions.

This role is fully remote. Applicants must reside in Oregon, Washington, Idaho, or Utah and able to work PST hours.

Clinical Intake & Correspondence Specialist Responsibilities

  • Receive and research a variety of requests and documentation from members, providers, employer groups, and internal teams related to utilization, care, and disease management programs.
  • Review incoming requests for completeness, identify any missing information, and follow up to obtain it without performing clinical evaluation or interpretation.
  • Verify preauthorization requirements, member benefits, and eligibility, and document findings accurately across multiple systems.
  • Create and manage cases in the care management system, and administratively authorize services when directed by clinical leadership.
  • Document inpatient admission and discharge notifications for use by clinical teams.
  • Coordinate reviews with members, providers, clinical staff, internal departments, and outside vendors to deliver complete and timely responses.
  • Identify errors quickly and take appropriate corrective action to resolve them.
  • Help members and providers understand the preauthorization process and the information needed to complete it.
  • Maintain organized access to reference materials, policies, and procedures, and meet all accuracy, quality, timeliness, and compliance standards.
  • Support evening, weekend, holiday, and overtime coverage as business needs require. Weekend shift employees may choose which two days of the week they have off.

Clinical Intake & Correspondence Specialist Qualifications

  • High school diploma or GED, plus approximately three years of clinical services or health plan customer service experience (or an equivalent combination of education and experience).
  • Working knowledge of medical terminology and anatomy, along with an understanding of utilization, care, and disease management programs.
  • Experience with healthcare systems and documentation, including EMR, billing, and claims, and the ability to work in multiple systems at once.
  • Proficiency with Microsoft Office, Outlook, and internet research.
  • Strong written and verbal communication skills, including a customer-focused approach marked by patience, empathy, and confidentiality.
  • Ability to work quickly and independently in a production environment, prioritize competing tasks, and consistently meet deadlines.
  • Strong organization, data entry, and administrative skills, with a flexible, solutions-oriented mindset.
  • Ability to collaborate effectively with clinical staff and team members.
  • Dependable attendance and punctuality.
  • Availability for weekends, holidays, evenings past 6:00 PM Pacific, and overtime when needed.

Preferred Qualifications

  • Knowledge of medical coding (CPT, DX, HCPCS).
  • Prior experience in a health insurance or provider office setting, such as scheduling or front office.
  • Experience writing professional business correspondence.

Compensation: $25-$27/hr. (DOE)
