Project Coordinator
Our client is seeking a Project Coordinator to manage operational assessment requests from intake through completion while serving as a key connection between internal teams and client stakeholders. The ideal candidate brings hands-on automotive dealership operations experience, strong project and workflow management skills, and the confidence to facilitate presentations with both operational and executive audiences.
This role is fully remote.
Project Coordinator Responsibilities
- Manage the full lifecycle of operational assessment requests, including intake, review, prioritization, assignment, progress tracking, follow-up, and final delivery.
- Coordinate internal review meetings and client presentations, ensuring analysts and subject matter experts are prepared with the appropriate information and supporting materials.
- Present assessment findings and operational improvement opportunities to client stakeholders and executive audiences, responding effectively to questions and adapting discussions based on client needs.
- Serve as the primary point of coordination among account representatives, analysts, requesters, and other stakeholders to maintain clear communication and timely execution.
- Review completed assessments for accuracy, completeness, consistency, and adherence to established quality standards prior to distribution.
- Track project activity, backlog, deliverables, and production metrics to ensure work remains aligned with established timelines and performance objectives.
- Maintain accurate activity, status, and reporting information within CRM and other business systems.
- Identify, prioritize, and coordinate assessment opportunities that support prospecting, client engagement, and business development initiatives.
- Monitor follow-up activities and outstanding requests to promote timely completion and maximize client impact.
- Support continuous improvement by identifying opportunities to strengthen workflows, reporting accuracy, operational efficiency, and overall service delivery.
Project Coordinator Qualifications
- Minimum 5 years of automotive dealership operations experience, including at least 2 years in a management-level role within areas such as Sales/F&I, Accounting, Parts, or Service.
- Strong understanding of automotive dealership workflows, operational controls, processes, and performance metrics.
- Demonstrated experience with process improvement, operational leadership, consulting, or performance improvement initiatives.
- Strong client-facing presentation and facilitation skills, including the ability to communicate effectively with executive-level stakeholders.
- Strong analytical and problem-solving skills with the ability to interpret operational information and translate findings into actionable improvement opportunities.
- Experience managing multiple projects, requests, or client engagements simultaneously in a deadline-driven environment.
- Proficiency with dealership management systems and related applications relevant to the candidate’s area of expertise.
- Excellent written, verbal, and interpersonal communication skills with the ability to work effectively across technical, operational, and business teams.
- Proficiency with Microsoft Office applications and experience maintaining accurate information within CRM, reporting, or workflow management systems.
- Ability to work independently, manage competing priorities, and adjust quickly in a fast-paced environment.
- Ability to travel up to 25%, including travel within North America and the Caribbean, with a valid passport.
- Bachelor’s degree in Business, Accounting, Operations, Automotive Management, or a related field preferred.
- Experience across multiple dealership departments and familiarity with manufacturer programs, warranty processes, or compliance requirements preferred.
- Experience with automation, digital workflows, operational analytics, or similar process-enhancement tools preferred.
