Executive Assistant
Our client is seeking an organized, proactive Executive Assistant to provide confidential administrative support to multiple senior leaders within a dynamic and fast-paced organization. This temporary assignment will play a critical role in supporting day-to-day operations, coordinating schedules and meetings, managing documentation, and assisting with special projects and operational initiatives. The ideal candidate is detail-oriented, adaptable, and comfortable working independently while handling sensitive information with professionalism and discretion.
This role is on-site in Vancouver, Washington, working a 6-month contract.
Executive Assistant Responsibilities
- Provide high-level administrative support to multiple Division Directors, including calendar management, scheduling, correspondence, and meeting coordination.
- Manage competing priorities and independently coordinate administrative activities with minimal supervision.
- Support division projects and initiatives by organizing information, tracking deadlines, monitoring action items, and following up to ensure timely completion.
- Prepare, organize, and maintain confidential documents, reports, presentations, records, and other business materials.
- Serve as a key point of contact between leadership, staff, vendors, contractors, and external stakeholders.
- Create and process purchase orders, assist with vendor onboarding activities, and maintain accurate records within internal systems.
- Coordinate with vendors and contractors to obtain quotes, gather required documentation, and support contract-related administrative processes.
- Organize, maintain, and archive electronic and physical records, including document scanning and digital file management projects.
- Attend meetings and site visits as needed to document discussions, capture action items, and support operational follow-up.
- Assist with shipment coordination, data entry, local administrative errands, and other operational support activities as needed.
Executive Assistant Qualifications
- 3+ years of executive assistant, administrative support, office coordination, or related professional experience supporting leadership-level stakeholders.
- Proven ability to support multiple leaders while managing competing priorities and deadlines.
- Experience handling confidential and sensitive information with professionalism, discretion, and sound judgment.
- Strong calendar management, meeting coordination, project tracking, and organizational skills.
- Experience preparing business correspondence, reports, presentations, and executive-facing documentation.
- Ability to work independently with minimal supervision while maintaining a high degree of accuracy and accountability.
- Experience working with vendors, contractors, purchase orders, invoices, or procurement-related processes.
- Excellent written and verbal communication skills with the ability to build effective working relationships across all levels of an organization.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Valid driver’s license and ability to travel locally as needed to support business operations.
