Construction Project Coordinator
Our client is seeking a Construction Project Coordinator to support a high-volume construction program through accurate documentation, data management, and project coordination. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced environment that requires frequent communication, persistent follow-up, and the ability to manage changing priorities. This role is well suited for someone who combines strong administrative skills with a collaborative, solutions-focused approach.
This role is on-site in Portland, Oregon or open to fully remote applicants who can work Pacific Time Zone hours.
Construction Project Coordinator Responsibilities
- Collect, review, and process contractor submittals and supporting documentation throughout key construction project milestones.
- Perform high-volume data entry and task management within work order, scheduling, and project tracking systems while maintaining a high level of accuracy.
- Verify required permits, documentation, prerequisites, and project information are complete and properly recorded before work progresses.
- Coordinate with project managers, contractors, permitting teams, administrative staff, and other stakeholders to obtain information, resolve outstanding items, and keep work moving forward.
- Monitor shared email communications, route requests to appropriate stakeholders, update associated project tasks, and maintain supporting documentation within applicable systems.
- Use dashboards, reports, and project data to validate processing accuracy, identify incomplete information, perform data cleanup, and confirm work order completion.
- Maintain clear and professional communication through email, Microsoft Teams, phone conversations, meetings, and other project coordination channels.
- Maintain process documentation and instructions related to contractor submissions, administrative workflows, and project requirements.
- Assist with onboarding and training team members on established processes, documentation standards, and administrative procedures.
- Provide general administrative and coordination support to project leadership while adapting to evolving program needs, priorities, and deadlines.
Construction Project Coordinator Qualifications
- High school diploma or equivalent and at least 2 years of administrative support, project administration, data entry, clerical, or related experience; an equivalent combination of education and experience may be considered.
- Strong proficiency with Microsoft Office, including Outlook and Excel, with the ability to quickly learn and navigate multiple work order, scheduling, and data management systems.
- Excellent interpersonal and communication skills, including the ability to communicate professionally and diplomatically with internal teams, contractors, and other stakeholders.
- Strong attention to detail with demonstrated ability to perform high-volume data entry, documentation processing, and records management accurately and efficiently.
- Ability to independently follow up on outstanding information, ask questions, resolve routine issues, and recognize when additional guidance or expertise is needed.
- Demonstrated ability to prioritize competing responsibilities, work effectively under time constraints, and remain flexible as project needs change.
- Strong problem-solving and organizational skills with the ability to work effectively across diverse teams and stakeholder groups.
- Previous construction administration, construction project coordination, or project management support experience is preferred.
- Experience processing and tracking RFIs or similar construction documentation is preferred.
- Utility industry experience is strongly preferred, particularly experience supporting construction execution, distribution operations, permitting, easements, rights-of-way, underground utility coordination, or related regulatory and municipal requirements.
Compensation: Up to $32.53/hr. (DOE)
