Agent Coordinator
Our client is seeking an Agent Coordinator to support agent contracting, licensing, appointments, and ongoing administrative operations within a regulated insurance environment. The ideal candidate is highly organized, detail-oriented, and comfortable managing high-volume agent information, resolving inquiries, and coordinating multiple priorities while maintaining accuracy and compliance.

This role is fully remote. Applicants must reside in Oregon, Washington, Idaho, Utah, or North Dakota and will work PST hours.

Agent Coordinator Responsibilities

  • Process and maintain agent contracts, appointments, licenses, renewals, and related documentation while ensuring compliance with applicable state insurance regulations and internal requirements.
  • Review and verify agent records, licensing information, insurance documentation, commission details, and eligibility information for completeness and accuracy.
  • Respond to agent, agency, and internal inquiries regarding appointments, commissions, licensing requirements, transfers of business, contracts, and related policies.
  • Maintain agent information within internal tracking systems, research discrepancies, troubleshoot system or payment issues, and coordinate appropriate resolutions.
  • Support regulatory audits and compliance activities by maintaining accurate records and assisting with requests involving agent licensing and appointment information.
  • Coordinate agent changes, contract updates, non-standard agreements, and other transactions while verifying applicable terms and commission structures.
  • Assist with the development and maintenance of procedures related to agent appointments, payments, licensing, and administrative processes.
  • Participate in departmental projects involving business processes, products, and technology, including research, documentation, system testing, and implementation support.
  • Prepare project updates, procedural communications, training materials, and other documentation to support process or system changes.
  • Collaborate with internal teams and external stakeholders to resolve issues, support departmental objectives, and ensure agent-related activities are completed accurately and on time.

Agent Coordinator Qualifications

  • Bachelor’s degree in a business-related discipline or an equivalent combination of education and relevant professional experience.
  • Strong organizational skills with the ability to manage multiple priorities and projects in a fast-paced office environment.
  • Excellent written and verbal communication skills with the ability to effectively interact with agents, agencies, internal teams, and other stakeholders.
  • Proficiency with Microsoft Office applications, including Excel and Teams, along with strong data entry and general computer skills.
  • Ability to work independently with minimal supervision while contributing effectively within a collaborative team environment.
  • Strong attention to detail and the ability to review contracts, licensing documentation, records, and transactional information for accuracy.
  • Knowledge of health insurance products or previous experience within the insurance industry is preferred.
  • Familiarity with state regulations, policies, and procedures governing insurance agent licensing and appointments is preferred.
  • Ability to research issues, analyze information, troubleshoot problems, and communicate effective resolutions.
  • Ability to type approximately 40–50 words per minute and efficiently handle a high volume of administrative activity.
