Senior Administrative Assistant
Our client is seeking a Senior Administrative Assistant to provide high-level support to a Vice President of New Business Development, along with two additional VPs as needed. This role is ideal for a polished, proactive professional who thrives as a trusted partner to senior leaders and keeps a busy team running smoothly.
This role is a hybrid model in Beaverton, Oregon.
Senior Administrative Assistant Responsibilities
- Manage complex executive calendars by scheduling meetings and appointments, resolving conflicts, and coordinating with partner teams.
- Arrange domestic and international travel, including flights, lodging, ground transportation, and detailed itineraries.
- Plan and coordinate meetings, offsites, and events, including venue selection, catering, agendas, and vendor communication.
- Prepare and submit expense reports, monitor budgets, and process invoices and purchase orders.
- Handle confidential and sensitive information with discretion and professionalism.
- Draft, edit, and distribute correspondence and communications on behalf of leadership.
- Create and refine presentations, documents, and organizational charts.
- Serve as the main point of contact for team administrative questions and provide backup coverage for other leaders when needed.
- Support special projects by tracking progress and helping ensure deadlines are met.
- Contribute to team culture through staff meetings, team-building activities, and workspace coordination.
Senior Administrative Assistant Qualifications
- 5+ years of administrative experience, ideally as a Senior Administrative Assistant supporting VP-level or other senior executives.
- Proven ability to build strong working relationships and communicate effectively with senior leaders and cross-functional partner teams.
- Hands-on experience with calendar management, meeting planning, expense reporting, and travel booking.
- Self-sufficient, with strong critical thinking, initiative, and attention to detail. Comfortable asking questions and following through with urgency.
- Experience managing highly confidential communications and sensitive information.
- Proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel) and virtual meeting platforms such as Zoom and Teams.
- Bachelor’s degree or equivalent combination of education and experience.
- Prior experience in a comparable industry is preferred, as is budget-tracking experience.
- Familiarity with AI productivity tools is a plus.
- Flexibility to occasionally work outside of standard business hours.
Compensation: Up to $28.17/hr. (DOE)
