Document Controller
Our client is seeking a Document Controller to join a small, collaborative document control team supporting engineering groups. This person will manage technical drawings and records, issue construction packages, and keep critical project documentation accurate, organized, and compliant. The ideal candidate is detail-oriented, enjoys solving problems, and picks up new software quickly.
This role is on-site in Portland, Oregon.
Document Controller Responsibilities
- Prepare, issue, and distribute construction packages on schedule, confirming that drawing content is complete and statuses are current.
- Maintain drawing records and lifecycle statuses in a drawing management system (Autodesk Vault), making sure drawings are accurate, viewable, and properly published.
- Track and update project records in QuickBase and other internal systems.
- Receive, log, and review as-built drawing packages, then create and send transmittals. Flag discrepancies such as revision numbers, drawing numbers, sign-offs, and image quality, and follow up until they are corrected.
- Coordinate with designers, engineers, field crews, and outside consultants on drawing check-outs and check-ins and on error resolution.
- Scan, index, categorize, and archive records in the electronic records system, checking scan quality along the way.
- Intake and maintain equipment records, manuals, and technical specifications so teams can easily identify installed equipment.
- Order printed drawing sets and keep distribution lists current, including drawing sizes and copy counts.
- Update SharePoint sites, procedures, and work instructions as needed to keep key information available.
- Follow records retention policies and applicable regulations, and provide basic training on document management tools to cross-functional teams.
Document Controller Qualifications
- High school diploma or equivalent.
- Five or more years of experience in document control, records management, or a related field is preferred.
- Strong problem-solving skills and a high level of attention to detail.
- Comfortable learning new software, with intermediate computer skills in Microsoft Office (Excel, Word, Access, Outlook), SharePoint, and database or reporting tools.
- Experience with Autodesk Vault is preferred.
- Experience with QuickBase is preferred.
- Excellent written and verbal communication skills.
- Familiarity with engineering drawing types such as one-lines, isometrics, and electrical schematics, and the ability to spot discrepancies in electrical, mechanical, and civil drawings.
- Understanding of the drawing lifecycle and the process of moving documents to published status.
- Working knowledge of records management practices, policies, and retention requirements.
