Project Coordinator
Our client is seeking a Project Coordinator to support a portfolio of physical retail projects, including new store openings, remodels, and other store development initiatives. This role will coordinate schedules, milestones, and project information across multiple workstreams while partnering with teams involved in design, construction, fixtures, operations, and broader business functions. The ideal candidate is highly organized, detail-oriented, and brings experience supporting physical store builds, retail development, construction, or similarly complex projects with multiple stakeholders and dependencies.

This role is a hybrid model in Beaverton, Oregon.

Project Coordinator Responsibilities

  • Coordinate project schedules, milestones, dependencies, and deliverables across multiple physical retail projects, including new store openings, remodels, and temporary retail initiatives.
  • Support store build and development projects from planning through execution by tracking construction, design, fixtures, product, delivery, and other critical milestones.
  • Serve as a central point of coordination across cross-functional project teams, gathering key dates, requirements, updates, and decisions to keep workstreams aligned.
  • Develop and maintain comprehensive project trackers using Airtable or similar tools, ensuring stakeholders have accurate visibility into project status, upcoming deadlines, and dependencies.
  • Monitor project timelines and proactively identify scheduling conflicts, potential risks, missing information, and deliverables requiring follow-up.
  • Coordinate with teams involved in store design, construction, retail operations, fixtures, and related functions to support successful project execution.
  • Prepare and distribute concise project status updates, presentations, schedules, and tracking materials using PowerPoint, Keynote, Excel, and other productivity tools.
  • Facilitate recurring project reviews, status meetings, and working sessions while documenting decisions, action items, ownership, and follow-up activities.
  • Maintain accurate project documentation and support continuous improvement of project tracking, scheduling, and reporting processes.
  • Support occasional domestic travel as project needs require, potentially including 1–2 trips during the assignment.

Project Coordinator Qualifications

  • 5+ years of experience in project coordination, project management, program coordination, construction coordination, retail development, or a related role.
  • Experience managing or coordinating physical store builds, new store openings, remodels, construction projects, or other brick-and-mortar development initiatives is strongly preferred.
  • Strong project scheduling and organizational skills, with demonstrated ability to manage multiple concurrent projects, milestones, dependencies, and deadlines.
  • Experience collaborating across functions such as construction, store design, fixtures, retail operations, facilities, or related project teams.
  • Excellent written and verbal communication skills with the ability to provide clear, concise project updates to stakeholders at varying levels.
  • Hands-on experience with Airtable or comparable project management, scheduling, or tracking platforms.
  • Advanced proficiency with Microsoft Office, particularly Excel and PowerPoint; experience creating polished presentations in PowerPoint or Keynote.
  • Strong interpersonal and stakeholder management skills with the ability to coordinate effectively across multiple teams and competing priorities.
  • Experience within retail, apparel, footwear, consumer products, or another multi-location physical environment is a plus.
  • Bachelor’s degree preferred but not required.
  • PMP certification is a plus but not required.

Compensation: Up to $42.25/hr. (DOE)
