Philanthropy Assistant
Our client is seeking a Philanthropy Assistant to provide high-level administrative, fundraising, and executive support to a dynamic foundation leadership team. This role plays a key part in advancing donor engagement, stewardship programs, and campaign activities while ensuring smooth coordination across executive offices, board functions, and community partnerships. The Philanthropy Assistant will interact with senior leaders, board members, donors, and external partners while managing sensitive information with professionalism and discretion.
This role is onsite in Springfield, Oregon.
Philanthropy Assistant Responsibilities
- Provide comprehensive administrative and executive-level support, including calendar management, travel coordination, correspondence, and preparation of materials for meetings and events.
- Coordinate board, committee, and campaign meetings by preparing agendas, distributing materials, recording minutes, and managing follow-up documentation.
- Support donor stewardship initiatives by assisting with acknowledgements, tracking disbursements, maintaining databases, and ensuring timely communication with internal and external stakeholders.
- Assist with planning and execution of fundraising campaigns, including pre- and post-campaign activities, and serving in a supporting role on related committees.
- Coordinate donor cultivation and stewardship events, educational forums, retreats, and recognition activities.
- Interface with donors, community partners, healthcare leaders, and foundation stakeholders in a professional and welcoming manner.
- Draft, edit, and manage written communications, reports, presentations, and internal materials using independent judgment and attention to detail.
- Coordinate patient rounding and grateful patient engagement activities in collaboration with clinical teams while ensuring strict compliance with privacy regulations.
- Maintain confidential files, ensure executives are fully prepared for scheduled commitments, and manage competing priorities with minimal direction.
- Perform special projects and additional administrative duties as needed to support organizational goals.
Philanthropy Assistant Qualifications
- Minimum of 3 years of experience in a professional office environment with demonstrated success in administrative support, project coordination, and customer or stakeholder engagement.
- Strong written and verbal communication skills with the ability to tailor messaging across a variety of audiences.
- Exceptional organizational, time management, and prioritization skills with meticulous attention to detail.
- Proven ability to build positive working relationships with executives, board members, donors, clinicians, volunteers, and community partners.
- Proficiency with Microsoft Office and collaborative platforms; experience with donor management or CRM systems is strongly preferred.
- Ability to manage sensitive and confidential information with discretion and professionalism.
- Self-directed work style with the ability to operate independently while contributing as a collaborative team member.
- Associate degree preferred or an equivalent combination of education and relevant experience.
- Prior experience in healthcare, nonprofit, or fundraising environments is strongly preferred.
- Ability to travel within the local service area on an occasional basis.
- Strong visual acuity and comfort working extensively with digital documentation and reporting tools.
Compensation: $20-$24/hr. (DOE)
