Patient Scheduling Coordinator
Our client is seeking a Patient Scheduling Coordinator to support a busy healthcare team by coordinating patient appointments, procedures, and related administrative activities. This role is ideal for a highly organized professional who thrives in a fast-paced environment, enjoys providing exceptional customer service, and excels at keeping schedules, documentation, and communication running smoothly across patients, providers, and clinical staff.

This role is on-site in Boston, Massachusetts.

Patient Scheduling Coordinator Responsibilities

  • Coordinate and schedule patient appointments, procedures, diagnostic testing, and follow-up visits while balancing provider availability and department priorities.
  • Serve as a primary point of contact for patients, providers, and internal care teams by providing timely, accurate scheduling information and resolving appointment-related questions.
  • Verify insurance coverage, obtain required authorizations, and ensure all necessary documentation is complete before scheduled services.
  • Review patient records, demographic information, physician orders, and clinical documentation for accuracy before appointments to support efficient patient care.
  • Maintain scheduling work queues, update electronic medical records, and process appointment requests while meeting productivity and service expectations.
  • Proactively identify scheduling conflicts or barriers and coordinate solutions to maximize patient access and efficient use of clinical resources.
  • Prepare and distribute procedure instructions, appointment materials, and other required documentation to patients and appropriate departments.
  • Assist with urgent scheduling changes, add-on appointments, cancellations, and other time-sensitive requests as operational needs arise.
  • Maintain scheduling logs, reports, and department records while ensuring confidentiality and compliance with organizational policies.
  • Provide administrative support, including answering phones, managing correspondence, and assisting with front office responsibilities as needed.

Patient Scheduling Coordinator Qualifications

  • High School Diploma or GED; no prior experience required.
  • Previous experience in patient scheduling, medical office administration, healthcare customer service, or a related administrative role preferred.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced healthcare environment.
  • Experience verifying insurance information and coordinating prior authorizations is preferred.
  • Familiarity with electronic health record (EHR) systems such as Epic, Athena, Meditech, or similar platforms is preferred.
  • Excellent communication and interpersonal skills with a patient-focused approach to service.
  • High level of accuracy and attention to detail when managing scheduling, documentation, and patient information.
  • Ability to work collaboratively with physicians, clinical staff, and external healthcare partners while maintaining professionalism and confidentiality.
  • Proficiency with Microsoft Office and other standard office technology.
  • Demonstrated ability to adapt to changing priorities while maintaining productivity and delivering excellent customer service.

Compensation: $21-$24/hr. (DOE)
