Senior Administrative Assistant
Our client is seeking a seasoned Senior Administrative Assistant to support two senior leaders within a dynamic and fast-paced organization. This individual will play a key role in ensuring business operations run efficiently through expert calendar management, travel coordination, expense tracking, and cross-functional support. The ideal candidate brings a proactive mindset, strong attention to detail, and the ability to communicate effectively across all levels of an organization.

This role is a hybrid model in Boston, Massachusetts.

Due to the nature of this role and immediate business needs, we are only considering candidates currently residing in Boston, Massachusetts and surrounding area.

Senior Administrative Assistant Responsibilities

  • Provide comprehensive administrative support to two senior leaders, including managing complex calendars and prioritizing scheduling needs.
  • Coordinate domestic and international travel arrangements, including logistics and itinerary management.
  • Prepare and submit expense reports, track budgets, and assist with processing purchase orders and vendor invoices.
  • Organize meetings and team events, including securing venues, coordinating agendas, managing logistics, and liaising with internal and external stakeholders.
  • Create, edit, and format documents and presentations; maintain organizational charts and team documentation.
  • Support internal communication efforts, drafting and reviewing correspondence and managing distribution lists.
  • Collaborate on space planning and team moves in partnership with workplace services or other departments.
  • Provide ongoing support for projects, tracking deliverables and deadlines across teams.
  • Contribute to a positive team environment through cultural engagement, team-building coordination, and administrative leadership.
  • Act as the primary point of contact for administrative inquiries and provide coverage for other executives as needed.

Senior Administrative Assistant Qualifications

  • Bachelor’s degree preferred, or equivalent combination of education, experience, and training.
  • Minimum of 3 years of experience in an administrative or executive assistant role.
  • Demonstrated ability to manage sensitive information with discretion and professionalism.
  • Proven success working in high-paced environments with shifting priorities and multiple stakeholders.
  • Exceptional organizational skills, time management, and attention to detail.
  • Strong verbal and written communication abilities, with the capacity to engage effectively at all organizational levels.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools such as Zoom or Microsoft Teams.
  • Familiarity with Keynote, ChatGPT, or Copilot is a plus but not required.
  • Experience supporting senior executives or leaders in a corporate setting is strongly preferred.
  • Willingness to occasionally work outside of standard business hours.
