Administrative Coordinator
Our client is seeking a highly organized Administrative Coordinator to provide comprehensive administrative and operational support to a fast-paced department. This role is ideal for a proactive professional who thrives in a collaborative environment, excels at managing multiple priorities, and demonstrates strong attention to detail while maintaining discretion with sensitive information. The Administrative Coordinator will play a key role in supporting daily office operations, coordinating schedules, and ensuring administrative processes run efficiently.
This role is onsite in Boston, Massachusetts.
Administrative Coordinator Responsibilities
- Provide high-level administrative support including preparing reports, spreadsheets, correspondence, and presentation materials.
- Coordinate calendars, schedule meetings, and support departmental events while ensuring effective time management for leadership and team members.
- Maintain office operations by managing supplies, inventory, and general administrative logistics.
- Record and distribute meeting minutes, track action items, and assist with follow-up on departmental projects and initiatives.
- Serve as a primary administrative point of contact by triaging calls, responding to inquiries, sorting and distributing mail, and routing requests appropriately.
- Maintain and update internal documentation and databases, including contract tracking systems and departmental records.
- Support onboarding and personnel-related administrative tasks, including assisting with new hire processing and documentation.
- Exercise sound judgment while handling confidential or sensitive information and communications.
Administrative Coordinator Qualifications
- Associate’s degree in Business Administration, Business Management, or a related field, or equivalent professional experience.
- 5–8 years of administrative, office coordination, or related professional experience.
- Advanced proficiency with Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
- Excellent written and verbal communication skills with strong proofreading and editing abilities.
- Strong organizational and time management skills with the ability to manage multiple tasks and shifting priorities.
- Ability to work independently, demonstrate initiative, and exercise sound judgment in day-to-day responsibilities.
- Strong interpersonal skills with the ability to collaborate effectively across teams and with external partners.
- Proven ability to handle confidential or sensitive information with discretion and professionalism.
Compensation: $24-26/hr (DOE)
