Senior Administrative Specialist
Our client is seeking a Senior Administrative Specialist to provide high-level administrative and operational support to senior technology leaders within a fast-paced, globally distributed organization. This role plays a critical part in enabling leadership effectiveness by coordinating complex schedules, supporting operational workflows, and ensuring seamless communication across teams. The ideal candidate is highly organized, adaptable, and comfortable working with remote leaders across multiple time zones in a dynamic environment.

This role is a hybrid model in Beaverton, Oregon.

Senior Administrative Specialist Responsibilities

  • Provide high-level administrative support to senior leaders, ensuring day-to-day operations run smoothly across distributed teams and time zones.
  • Manage complex calendars, coordinate meetings, and resolve scheduling conflicts while balancing priorities across multiple stakeholders.
  • Arrange domestic and international travel logistics, including itinerary coordination, transportation, and required documentation.
  • Plan and coordinate meetings, team events, and leadership sessions, including logistics, agendas, vendor coordination, and budget considerations.
  • Prepare and manage expense reports, purchase orders, and basic budget tracking while supporting financial and operational processes.
  • Develop, edit, and format presentations, documents, organizational charts, and other materials used in leadership communications and team initiatives.
  • Draft and distribute internal communications, maintain distribution lists, and support messaging on behalf of leadership when needed.
  • Coordinate workspace logistics such as team moves, equipment needs, or workspace planning with internal partners.
  • Assist with project coordination by tracking tasks, timelines, and deliverables across initiatives led by supported teams.
  • Serve as a key administrative point of contact for team members, providing guidance and support for administrative processes and requests.

Senior Administrative Specialist Qualifications

  • 3+ years of professional administrative or executive support experience in a fast-paced corporate environment.
  • Demonstrated ability to support senior leaders and collaborate effectively with cross-functional teams and stakeholders.
  • Advanced proficiency with scheduling, calendar management, and collaboration tools such as Outlook, Zoom, Slack, and similar virtual communication platforms.
  • Strong organizational and time management skills with the ability to prioritize multiple competing requests.
  • Proven ability to work effectively with remote leaders and distributed teams across multiple time zones.
  • High level of discretion and professionalism when handling confidential or sensitive information.
  • Strong written and verbal communication skills with the ability to interact with a wide range of personalities and leadership styles.
  • Experience preparing presentations, documents, and internal communications using tools such as Microsoft Office or similar platforms.
  • Familiarity with expense reporting, purchase orders, or basic budget tracking processes preferred.
  • Prior experience supporting large global organizations or technology teams is a plus; previous experience with major global brands is beneficial but not required.

Compensation: $28.17/hr.
