Leave of Absence Specialist
Our client is seeking a detail-oriented Leave of Absence Specialist to support employees and managers through the full leave administration process. This role requires a service-minded professional who can clearly communicate complex leave policies, manage sensitive information with discretion, and collaborate with internal teams and external partners to ensure a smooth and compliant leave experience.
This position is based onsite and may be located in Hillsboro, Oregon, Medford, Oregon, Tacoma, Washington, or Vancouver, Washington. Candidates who are able to work onsite in Hillsboro, Oregon are strongly preferred.
Leave of Absence Specialist Responsibilities
- Serve as the primary point of contact for employee and manager inquiries related to leave programs, managing the leave inbox and responding to requests in a timely and professional manner.
- Provide guidance on leave eligibility, employee rights, and program requirements including FMLA, ADA accommodations, parental leave, military leave, personal leave, and other applicable policies.
- Maintain accurate and confidential records for all leave cases within HRIS and leave management systems while ensuring documentation aligns with internal procedures and regulatory requirements.
- Partner with third-party administrators, disability carriers, payroll, and internal stakeholders to coordinate leave cases, benefits continuation, and pay accuracy.
- Support the ADA interactive process by collaborating with leadership and internal partners to evaluate accommodation requests and maintain appropriate documentation.
- Communicate with employees throughout the leave lifecycle, including sending required notices, requesting documentation, and providing updates on case status.
- Track leave utilization, generate reports, and assist with internal reviews, audits, or compliance-related requests as needed.
- Monitor changes in federal, state, and local leave laws and assist in recommending updates to policies and processes.
- Ensure all required notices and documentation are issued in accordance with applicable regulations and organizational procedures.
- Model strong compliance practices by adhering to internal policies, regulatory requirements, and required training while supporting a collaborative and service-focused workplace culture.
Leave of Absence Specialist Qualifications
- High school diploma or GED required; an associate’s degree in Human Resources, Business Administration, or a related field is preferred.
- Two to five years of hands-on experience administering employee leaves of absence and managing day-to-day case coordination.
- Working knowledge of federal and state leave regulations such as FMLA, ADA, and other applicable leave programs.
- Strong communication and customer service skills with the ability to guide employees through sensitive or complex situations.
- Excellent attention to detail and organizational abilities with the capacity to manage multiple cases, deadlines, and documentation requirements.
- Proficiency with Microsoft Office tools including Word, Excel, Outlook, and PowerPoint.
- Experience using HRIS or leave management platforms such as Workday, UKG, ADP, or AbsenceSoft is preferred.
- Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive employee information.
- Experience supporting leave programs across multiple states is a plus.
- Demonstrated ability to collaborate effectively with cross-functional teams and external partners.
Compensation: $25-$30/hr. (DOE)
