Executive Assistant
Our client is seeking an experienced Executive Assistant to provide high-level administrative and secretarial support to senior leadership. This role partners closely with executives to manage complex schedules, sensitive communications, and critical administrative processes, while operating with discretion, sound judgment, and a high degree of independence. The ideal candidate is a seasoned professional who thrives in a fast-paced corporate environment and brings strong organizational, communication, and interpersonal skills.
This role is a hybrid model in Portland, Oregon.
Executive Assistant Responsibilities
- Provide comprehensive administrative and secretarial support to senior-level executives, including handling confidential and non-routine materials with discretion.
- Manage executive calendars, appointments, meetings, and travel arrangements, ensuring seamless coordination and prioritization.
- Draft, proofread, edit, and format correspondence, reports, memoranda, and presentations using strong business writing and grammar skills.
- Serve as a primary point of contact by screening calls and visitors, responding to inquiries when appropriate, and following up on action items.
- Record, prepare, and distribute meeting minutes, which may include executive or board-level meetings.
- Maintain expense records, compile expense reports, and assist with budget preparation and related documentation.
- Support special projects, events, meetings, or presentations, including research, data compilation, and coordination with internal stakeholders.
- Organize and maintain files, records, mail, and office supplies, ensuring accuracy and accessibility.
- Collaborate as part of an administrative support team and provide backup coverage for other assistants as needed.
Executive Assistant Qualifications
- 7+ years of progressively responsible administrative or executive support experience, supporting senior or executive-level leaders.
- Secretarial certificate or equivalent combination of education and professional experience.
- Advanced proficiency in Microsoft Word, Excel, and PowerPoint.
- Exceptional written and verbal communication skills, with strong command of business English and grammar.
- Proven ability to exercise independent judgment, prioritize competing demands, and work proactively.
- Strong interpersonal skills with the ability to build effective working relationships across all levels of an organization.
- Solid understanding of corporate structures, executive operations, and professional protocols.
- Comfort with basic math and financial tracking related to expenses and budgets.
