Executive Assistant
Our client is seeking a seasoned, in-person Executive Assistant to serve as a trusted partner to senior leadership in a complex and high-discretion environment. This role is ideal for someone who thrives on execution, sound judgment, and ownership. The Executive Assistant will support a primary executive, collaborate closely with select members of the executive team, and work across multiple affiliated entities. Success in this role requires exceptional confidentiality, strong organizational instincts, and the ability to anticipate needs in a fast-moving setting.
This role is onsite in Beaverton, Oregon
Executive Assistant Responsibilities
- Provide senior-level executive support, acting as a trusted partner responsible for managing priorities, protecting time, and ensuring seamless execution across professional and personal commitments.
- Manage highly complex calendars, travel, and itineraries, including coordination of speaking engagements, external commitments, and multi-entity scheduling.
- Serve as a gatekeeper and liaison for sensitive communications, exercising excellent judgment when handling confidential information, contracts, and negotiations.
- Support legal- and contract-adjacent work, including coordination, document handling, and information protection across various entities and properties.
- Work across multiple business interests, such as investment entities, real estate, and operating companies, ensuring alignment and follow-through.
- Anticipate needs, identify risks, and proactively resolve issues before they escalate, operating with minimal direction.
- Draft and manage executive correspondence, briefing materials, and occasional content support as needed.
- Partner with senior executives, including the Chief Investment Officer, and provide additional executive support as business needs evolve.
- Assist with special projects requiring discretion, organization, and end-to-end ownership.
- Over time, support the onboarding and guidance of a junior-level Executive Assistant to absorb routine administrative tasks.
Executive Assistant Qualifications
- Demonstrated experience supporting senior executives in a high-trust, fast-paced, and confidential environment.
- Exceptional judgment, discretion, and integrity when handling sensitive information and complex matters.
- Strong execution skills with the ability to prioritize effectively, solve problems independently, and follow through.
- Experience working in legal, attorney-adjacent, contract-heavy, or similarly complex environments is strongly preferred.
- Excellent written and verbal communication skills, with a polished and professional presence.
- Advanced proficiency with Microsoft Office, particularly Outlook, Word, and related productivity tools.
- Highly organized, detail-oriented, and skilled in managing records and sensitive documentation.
- Collaborative, grounded, and adaptable, with confidence engaging across leadership levels and multiple entities.
- General familiarity with HR or administrative best practices is a plus.
