Administrative Specialist (Part-Time)
Our client is seeking a highly organized and discreet Administrative Specialist to provide critical operational support within a complex, fast-paced healthcare environment. This individual will be trusted with sensitive information, balance multiple priorities with ease, and serve as a steady administrative partner to faculty, leadership, and cross-functional teams. The ideal candidate brings strong judgment, adaptability, and a service-oriented mindset while ensuring processes run smoothly and professionally.

This role is onsite in Boston, Massachusetts working around 20 hours per week.

Administrative Specialist Responsibilities

  • Provide comprehensive administrative support across faculty recruitment, credentialing, onboarding, and program operations while maintaining strict confidentiality.
  • Coordinate recruitment logistics, including job postings, candidate tracking, interview scheduling, and travel or virtual meeting arrangements.
  • Manage credentialing workflows, documentation, compliance tracking, and ongoing monitoring of licenses, certifications, and approvals.
  • Support onboarding and offboarding processes by preparing materials, coordinating system access, scheduling trainings, and facilitating transitions.
  • Assist with general office operations and departmental support needs, adapting to shifting priorities and contributing to a collaborative administrative team.

Administrative Specialist Qualifications

  • Associate’s or Bachelor’s degree, or equivalent administrative experience in a professional or regulated environment.
  • Demonstrated experience handling confidential information with discretion, sound judgment, and professionalism.
  • Strong organizational and data management skills, with the ability to track multiple workflows and deadlines simultaneously.
  • Proficiency in Microsoft Office and comfort learning new systems, databases, and administrative tools.
  • Excellent communication, interpersonal, and customer service skills, with the ability to work effectively across teams and leadership levels.
