Front Desk & Archive Assistant
Our client is seeking a Front Desk & Archive Assistant to support a busy, public-facing office while contributing to a structured records digitization and research initiative. This role blends customer service with detailed administrative and archival work, requiring someone who can shift priorities seamlessly while maintaining accuracy and professionalism. The ideal candidate is organized, detail-driven, and comfortable managing both in-person interactions and behind-the-scenes documentation tasks.
This role is onsite in The Dalles, Oregon.
Front Desk & Archive Assistant Responsibilities
- Serve as the primary point of contact for visitors and incoming calls, providing professional assistance and directing inquiries appropriately.
- Prioritize front desk coverage during peak hours while maintaining progress on archival and administrative assignments.
- Digitize, categorize, and organize records, including scanning, splitting, naming, and filing documents according to established standards.
- Conduct detailed research and support the organization of historical and departmental records.
- Monitor shared inboxes and coordinate timely responses or routing of requests to appropriate team members.
- Maintain accurate and well-structured electronic filing systems to support long-term document accessibility.
- Assist with general administrative duties to ensure smooth daily operations across the department.
Front Desk & Archive Assistant Qualifications
- Strong attention to detail with the ability to follow structured processes and naming conventions accurately.
- Excellent organizational and time management skills, with the ability to balance multiple priorities.
- Professional communication skills and a customer-focused approach to front desk interactions.
- Experience working with digital documents, including PDFs and basic office software.
- Ability to work independently and take initiative after initial training.
- Adaptability in a role that requires frequent shifts between public-facing and detail-oriented tasks.
Preferred:
- Prior experience in administrative support, front desk operations, or records management.
- Exposure to document digitization, archival processes, or file organization standards.
- Experience in a public-facing, municipal, or structured organizational environment.
