Executive Administrative Assistant
Our client is seeking a highly organized and polished Executive Administrative Assistant to provide high-level support to senior leadership in a fast-paced professional environment. This role requires exceptional communication, discretion, and attention to detail while managing complex schedules, preparing professional correspondence, and coordinating administrative operations. The ideal candidate is proactive, resourceful, and capable of maintaining organization and efficiency across multiple priorities.
This role is a hybrid model in Boston, Massachusetts.
Executive Administrative Assistant Responsibilities
- Provide comprehensive administrative support to senior leaders, including managing complex calendars, coordinating meetings, and organizing travel arrangements with detailed itineraries.
- Draft, edit, and proofread professional correspondence, reports, and presentations while ensuring accuracy and quality of all documentation.
- Coordinate meetings and events, including scheduling, preparing materials, managing technology and catering needs, and recording and distributing meeting minutes.
- Manage departmental administrative operations such as processing invoices, tracking expenses, monitoring budgets, and maintaining subscriptions.
- Maintain office operations by managing supplies, organizing records and files, and supporting administrative systems that improve efficiency and workflow.
Executive Administrative Assistant Qualifications
- Bachelor’s degree in a related field, or an equivalent combination of education, training, and professional experience.
- 3–5 years of progressive experience in executive or high-level administrative support roles.
- Demonstrated proficiency with Microsoft Office applications including Word, Excel, PowerPoint, and Access.
- Strong organizational, multitasking, and time management skills with the ability to manage competing priorities and deadlines.
- Excellent written and verbal communication skills with the professionalism and diplomacy to work effectively with senior leaders and external stakeholders.
