Senior Onboarding Specialist
Our client is seeking a Senior Onboarding Specialist to lead and optimize a high-volume, compliance-driven onboarding function supporting new hires and rehires. This role plays a central part in shaping a seamless and positive employee experience while ensuring accuracy, speed, and regulatory adherence. The ideal candidate is highly organized, analytical, and comfortable coordinating across multiple HR and operational stakeholders.

This role is onsite in Boston, Massachusetts.

Senior Onboarding Specialist Responsibilities

  • Lead end-to-end onboarding activities, ensuring timely completion of new hire documentation, employment eligibility verification, background screening, and occupational health requirements.
  • Coordinate and schedule occupational health appointments, orientation sessions, and pre-employment steps to reduce time-to-start and eliminate process delays.
  • Manage background check workflows, including release forms, adjudication support, and communication with managers and candidates regarding results or outstanding items.
  • Maintain accurate personnel and onboarding records across HR, payroll, and applicant tracking systems, ensuring data integrity and audit readiness.
  • Build and maintain onboarding trackers, dashboards, and reports that provide visibility into status, bottlenecks, and performance trends.
  • Proactively follow up on incomplete paperwork or missing requirements to ensure fully compliant personnel files.
  • Partner cross-functionally with recruiting, compensation, benefits, payroll, and hiring managers to streamline onboarding processes and resolve issues.
  • Drive continuous process improvements focused on efficiency, candidate experience, and regulatory compliance.
  • Support executive-level onboarding and specialized orientation activities as needed.
  • Participate in compliance and I-9/E-Verify audits, identify gaps, and implement corrective actions.

Senior Onboarding Specialist Qualifications

  • Bachelor’s degree required.
  • 5 or more years of experience in onboarding, recruiting coordination, or high-volume HR operations within a fast-paced environment.
  • Demonstrated experience managing onboarding documentation, background checks, and pre-employment workflows.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Ability to work independently while maintaining a high level of accuracy and accountability.
  • Experience using applicant tracking systems or HRIS platforms required; experience with enterprise systems is highly valued.
  • Proven communication skills with the ability to coordinate effectively across stakeholders and employee populations.
  • Analytical mindset with experience tracking metrics, identifying trends, and improving operational processes.
  • Practical project coordination or process improvement experience preferred.
  • Strong sense of ownership, follow-through, and attention to compliance-sensitive details.
