This role is ideal for a process-driven professional who thrives in a data-heavy, computer-based environment and enjoys working across multiple systems to ensure accuracy, compliance, and operational efficiency.

This role is a hybrid model in Wilsonville, Oregon.

Resource Scheduler Responsibilities

  • Create, research, and manage highly detailed work orders, including compiling sketches, permits, customer information, and full scopes of work.
  • Enter and maintain contractor and customer data across multiple internal systems, including Maximo, GIS, and additional proprietary work order tools.
  • Research existing customer records to prevent duplicate applications and ensure data integrity.
  • Gather screenshots and documentation from 7–15 different data resources to support 20–30 work order applications per workflow cycle.
  • Schedule customer appointments and serve as a primary point of coordination between internal teams, contractors, and customers.
  • Respond to high-volume customer communications via phone, email, and written correspondence with professionalism and accuracy.
  • Pull, verify, and process contractor data into internal systems to ensure compliance and proper routing.
  • Review vegetation management documentation for completeness, accuracy, and regulatory alignment.
  • Support contractors by reinforcing expectations for safety, quality, and timely execution.
  • Collaborate closely with forestry, landscaping, operations, and business support teams to maintain seamless workflow coordination.
  • Analyze vegetation and operational data to assist with reporting, trend tracking, and program optimization.
  • Identify workflow gaps and contribute to continuous process improvement initiatives.
  • Perform additional administrative support and special projects as assigned.

Resource Scheduler Qualifications

  • Minimum of 2 years of experience in scheduling, utility operations, vegetation management, work order coordination, or a similar regulated operational environment.
  • Exceptionally strong attention to detail with the ability to manage large volumes of data across multiple systems.
  • Comfortable working at a computer for the majority of the workday.
  • Ability to learn and navigate Maximo, GIS platforms, and internal work order software.
  • Experience pulling, entering, and validating contractor, customer, and permitting data.
  • Proficiency with Microsoft Office and customer or data management systems.
  • Excellent written and verbal communication skills with a professional, customer-focused approach.
  • Strong organizational skills with the ability to manage competing priorities in a fast-paced, deadline-driven environment.
  • Analytical and research-driven mindset with strong problem-solving abilities.
