Office Assistant

Essential Functions of the Office Assistant
Monitor over 400 contract employee weekly timecard submissions and approvals to verify data accuracy.
Accurate data import and entry into timekeeping and accounting software systems.
Provide customer service to contractors, clients & internal staff on timekeeping software functions, procedures, and insure timely reporting of billable hours.
Research data discrepancies for payroll and accounts receivable.
Provide clerical support as needed to the accounts payable, accounts receivable, human resources, and front desk administrator, including document filing.
May perform other duties as assigned (>5%).

Competencies of the Office Assistant
Well organized.
Keen eye for details.
Proficient in accurate high-volume data entry.
Experience entering data into mid-size databases.
Customer-focused – identifies and demonstrates sensitivity as needed to meet client needs.
Strong people skills – a polite and professional demeanor when working with our customers and internal staff.
The ability to act responsibly and ethically when working with sensitive financial and personnel information.
Positive attitude, open communication, team spirit, and a commitment to help achieve company success.
Exposure to cloud-based invoicing system highly preferred. 

Qualifications of the Office Assistant
High School Diploma or equivalent.
1 – 3 years’ clerical accounting experience.
Competency in MS Office, Office 365 (a plus) and knowledge of accounting software.
Some college coursework or knowledge of generally accepted accounting principles and procedures preferred.
