Our client is seeking an Executive Assistant to join their team in Redwood City, California. As a Senior Administrative Assistant, you will handle details of highly confidential and critical nature content. Must function efficiently and effectively in a fast-paced professional environment. You will have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines. Organizing and maintaining administrative processes, expenses, travel arrangements, calendaring and scheduling meetings globally are essential to this position. Must be able to work with cross-functional coordination with team. You must be detail oriented and always anticipate needs.
Provide administrative support to SVP of Financial Services Business Global Unit (Sales Org) - team of 10K globally.
Planning, organizing and coordinate internal/external executive meetings.
Provide effective and expeditious meeting coordination and follow up as needed.
Stellar verbal and written communication skills with exceptional professionalism and interpersonal skills
Ordering office supplies and manage the office supplies storage.
Complex and heavy calendaring that constantly changes.
Extensive internal and external travel planning and coordination (Air, hotel and ground transportation)
Expense for SVP.
Perform additional duties and projects as required or assigned for the efficient, smooth and timely flow of work.
Act as a liaison, problem solver, and facilitator as the first contact for the Sr. Vice President.
Strong attention to detail with the ability to prioritize, multi-task and flexible.
Keeps abreast with all organizational changes and business developments and maintains in depth understanding of office management procedures and departmental and legal policies.
Receives, interprets and evaluates the level of significance of information requests, takes appropriate responsive action, and determines when the executive or other staff should be notified or involved.
In the executive's absence, ensures that requests for action or information are distributed to the appropriate staff member.
Other duties as assigned.
Strong analytical, prioritizing, organizational, interpersonal, problem-solving and planning skills
Demonstrated collaborative skills and ability to work well within a team and across functional, organizational, and team environments.
High degree of proficiency MS Office Suite, Outlook & Internet applications.
Ability to learn new systems and software applications that are company specific.
Bachelors Degree preferred with 4+ years of executive assistant supporting fast paced team.
Proficient in desktop applications such as MS Word, Excel, PowerPoint, Outlook and tools.
Ability to make decisions and be assertive where appropriate.
