Leave of Absence Administrator
Our client is seeking a Leave of Absence Administrator to lead the day-to-day administration of their employee leave programs and ensure a seamless, compliant, and supportive experience for employees across multiple states. This role serves as the primary subject matter expert for leave programs, partnering closely with external vendors and internal HR teams to manage a high volume of complex leave cases with accuracy and care.
This role is onsite in Tacoma, Washington, Lake Oswego, Oregon, or Irvine, California.
Leave of Absence Administrator Responsibilities
- Serve as the organization’s lead expert for all leave of absence programs, overseeing daily operations, compliance, and overall program execution.
- Act as the main point of contact for employees, managers, and external leave vendors, guiding stakeholders through policies, timelines, and next steps.
- Review, process, and determine eligibility for a range of leave types, ensuring accuracy in documentation, notifications, and case handling.
- Manage full-cycle administration of federal, state, and local leave programs, including FMLA, disability, personal leave, military leave, bereavement, jury duty, and workers’ compensation.
- Maintain strong relationships with third-party administrators and insurance carriers to support timely and accurate claim handling.
- Monitor and interpret evolving leave laws and regulations across multiple states to ensure ongoing compliance and provide clear guidance to internal teams.
- Maintain complete and accurate records, including leave status, benefit information, and related employee data within HRIS and leave management systems.
- Provide reporting and analytics on leave activity, costs, trends, and program utilization to support business decisions and compliance requirements.
- Conduct periodic audits of leave processes to ensure accuracy, efficiency, and alignment with company policies.
- Partner with HR colleagues to align leave practices with broader HR initiatives, benefits strategies, and employee relations considerations.
- Assist in refining and maintaining leave policies, templates, and communications to ensure clarity and effectiveness.
- Offer support to adjoining HR functions, including benefits, compensation, payroll, and accommodation processes.
- Uphold all applicable organizational policies, employment regulations, and required training related to confidentiality, compliance, and workplace standards.
- May provide coaching or training to team members or stakeholders as the subject matter expert.
Leave of Absence Administrator Qualifications
- Associate degree in business, human resources, or a related field required; bachelor’s degree preferred.
- Four to five years of hands-on experience administering high-volume, multi-state leave cases in an in-house HR environment.
- Experience working within organizations of approximately 2,000–5,000+ employees.
- Strong working knowledge of federal, state, and local leave regulations, including experience with leave programs across AZ, CA, CO, ID, NV, OR, UT, and WA.
- Proficiency with HRIS platforms—Workday strongly preferred—and leave management systems.
- Deep familiarity with paid leave programs in Oregon, Washington, and California.
- Strong analytical skills with the ability to evaluate leave trends, costs, and opportunities for process improvement.
- Excellent communication skills, capable of explaining complex leave processes clearly to employees, leaders, and external partners.
- High level of organization with the ability to manage multiple cases and deadlines simultaneously.
- Strong problem-solving abilities to address escalations, investigate concerns, and recommend solutions.
- Exceptional customer service mindset with empathy for employees navigating sensitive personal situations.
- Ability to build strong working relationships with internal partners and external vendors.
- High level of discretion, ethics, and integrity when handling confidential employee information.
- Adaptability and flexibility to respond to changes in regulations, technology, or organizational needs.
- Proficiency with standard business technologies and tools relevant to leave administration and reporting.
- Professional certifications such as CEBS, PHR, or SHRM-CP preferred.
